Guide · Promotion Fulfillment

Plan a promotion: from the goal to a workable brief.

Mechanics, volume ranges, materials and dates belong in one plan early on. This guide helps resolve open decisions before production and shipping start.

Three steps before requesting a proposal

  1. 1

    Goal & mechanics

Who participates, what do they receive and what checks are needed?

  2. 2

    Volumes & materials

Which products and variants are needed, and within what volume range?

  3. 3

    Dates & ownership

Who provides data, approves work and decides on exceptions?

Guide · Promotion Fulfillment

From the campaign objective to an operational brief.

Promotion fulfillment plans storage, preparation and dispatch for a limited campaign window. The brief connects mechanics, volume corridors, deadlines, prizes, care and close-out as reviewable assumptions.

Put the guide into practice

Bring together the information about your project. It provides a clear basis for discussing effort, open questions and a suitable starting point.

Volume Corridor

A volume corridor makes uncertainty visible.

Participation and redemption can only be described in scenarios before launch. The upper corridor is the assumption used to align shipping windows, prize reserve and escalation.

01Run three scenariosConservative, expected and peak cases use the same mechanics, period and prize structure so differences in stock and shipping windows are visible.
02Measure daily capacity against the corridorAn assumed daily volume is derived from the upper scenario and requested shipping windows. It remains a project assumption, not a general capacity commitment.
03Agree ramp-up in advanceA possible increase case names its trigger, decision route, additional prizes and communication path before launch rather than during a peak.
Timeline & Deadlines

The schedule links launch, redemption and dispatch.

Campaign, redemption and shipping deadlines need one calendar. Goods receipt, testing and data handoff are aligned before the public campaign launch.

01Complete inbound before launchPrizes are checked against the agreed delivery, sorted by variant and only then made available as campaign stock for the planned dispatch.
02Schedule changeover and a test runPackaging, inserts, recipient-data format and checking criteria are reviewed in a limited test run against the campaign specification.
03Fix deadlines within the campaign periodParticipation, redemption and shipping deadlines are documented with their responsible owners so information and operational handoff use the same timetable.
Prize Logistics

Variants, replacements and returns are separate plan items.

Prize variants, replacement cases and returns are planned separately. The appropriate reserve depends on the item, packaging, shipping method and agreed campaign rules.

01Include a replacement rate in the volume planDamaged or missing prizes are recorded with the available shipment reference and brought for approval as a replacement or exception under the defined rule.
02Run prize categories separatelyMain prizes and serial prizes receive separate information on variant, packaging, documentation and handoff so that their campaign rules remain traceable.
03Take consumer addresses seriouslyAddress fields are limited before handoff to information needed for the agreed dispatch; questions follow the documented exception route.
Support Volume

Support and care belong in the operating plan.

Contact channels, information boundaries, status sources and escalation are defined in advance. Drafting assistance may prepare a response, while accountability and approval remain with named people.

Wind-Down & Residual Stock

Planned close-out starts after the deadline.

After a deadline there may still be residual stock, returns, replacements and a reporting handoff. Their rules belong in the shared plan before launch.

01Settle late redemptionsA redemption after the deadline is handled against a rule documented in advance; a deviation goes to the responsible owner for a decision.
02Decide on residual stockUnclaimed prizes are counted after the campaign and passed into the agreed storage, return or disposal decision.
03Evaluate the campaignRedemptions, dispatched quantities, returns and open cases are brought together for the agreed report. This shows what is complete, where a decision remains and which lessons can inform the next campaign.
Context

Turn the brief into an agreed operating plan.

PROWERB connects the planned campaign with warehousing, kitting, dispatch and participant support. Together, we review prizes and variants, volume scenarios, deadlines and enquiry routes. This establishes the agreed scope, remaining preparations and a contact for each handoff. Bring a sample prize, the campaign mechanics and the intended timeframe to the first discussion.

FAQ

Frequently asked questions about campaign planning.

How many shipments per day does a promotion fulfiller need to handle?

The needed daily volume is derived from the upper scenario, shipping window and prize characteristics. It is assessed for the project rather than taken from a published provider figure.

How quickly can capacity be added if a campaign performs better than planned?

A possible adjustment needs a prior trigger, decision route, additional goods and communication channel. Whether and how it can be done is determined for the project.
