Managed Account Support

PROWERB runs customer accounts as a named managed service: a dedicated contact, backed by account management on three levels — strategic, campaign-related, operational. Whoever calls doesn't have to explain the context first. They discuss the next step.

Index 01 · Starting point

Outsourcing rarely fails on performance. It fails on ownership.

When shop, warehouse and campaigns run externally, it's not the individual shipment that decides the partnership, but the question of who is in charge. In anonymous structures, every case starts from zero: new handler, new backstory, new explanation. Yet knowledge of range, seasonality and edge cases is the actual operational service. That's why PROWERB runs account management as a named service — with structure, fixed names and clear ownership. Not as a side effect of sales.

Outsourcing rarely fails on performance. It fails on ownership.
Example workflow

A delayed shipment needs a clear next step.

Material is missing at a location before a promotion. Operational account management first checks the order and shipment, campaign management assesses timing, and the key account agrees any required adjustment with the client. Everyone works on the same case and a coordinated response.

  1. 1

    Establish the facts

Connect the order, missing line and required date. Delivery statements are based on the recorded status.

  2. 2

    Agree an option

Review replacement delivery, an alternative or a changed process with the responsible decision-maker. Include costs and consequences.

  3. 3

    Complete the response

Record the action and recipient communication on the case. Review whether it calls for a lasting process change at the next routine meeting.

Index 02 · Scope of service

Three levels, three areas of ownership: strategy, campaign, day-to-day operations.

Every account is run on three levels. The separation is deliberate: whoever owns annual planning shouldn't also be resolving packing lists — and vice versa.

01Key account managementThe strategic point of contact: annual and range planning, contract and budget questions, escalations. One name that knows the account for years — not whoever is next available.
02AM PromotionsManages campaigns and promotions: dates, recipient lists, special campaigns, coordination with the campaign line. The level that plans peak-load phases before they happen.
03AM Fulfillment →Operational handling: dispatch scheduling, IT topics, inventory questions, exception handling. The level that runs and holds day-to-day operations in the system.

Index 03 · System operation

The contact sees the same system as the warehouse.

At the start, a named contact, cover and review cadence are agreed. Daily open tasks have an owner and next date. Decisions about replacements, additional cost or changed processes go to the agreed approval owners.

The proof of good account management is longevity.

Three accounts from ongoing business:

International workwear brand
For an international workwear and corporate-fashion brand, PROWERB runs e-commerce as an ongoing managed service — continuous account management, underpinned by the operational base: supplier correspondence, goods receipt and inventory booking, invoicing, dispatch and delivery exception handling.
Coca-Cola Europacific Partners
Within the mandate established in 2021, one account has managed POS logistics, promotions, VIP ticketing and event logistics across all brands — with round-the-clock reporting.
Erdinger
The partnership ran through an agency for a long time — an agency that used PROWERB as its service provider in the background — Erdinger now works directly with PROWERB. Accounts grow when the support holds.
Index 05 · Process

Ownership is fixed before the first shipment leaves the building.

The first discussion establishes goals, open cases and decision rights. Handover, communication and review dates are then agreed. For a larger fulfilment takeover, introduction follows seven phases (0–6). Around 14 weeks is a planning guideline once master data, contracts, inventory transfer, interfaces and approvals are settled. A digital build or smaller scope receives its own schedule.

  1. 01

    Takeover

Record open cases, contacts and approvals.

  2. 02

    Daily work

Agree cover, response paths and escalation.

  3. 03

    Review

Discuss status, changes and next steps at the agreed cadence.

Frequently asked questions about managed account support

What distinguishes managed account support from customer service?

Customer service answers inquiries. Managed account support runs an account: named contacts on three levels, fixed routines, system visibility into orders and inventory. The service is the operation, not the individual answer.

Who is responsible for day-to-day business?

AM Fulfillment — for operational handling, IT topics and dispatch scheduling. Campaigns and promotions are steered by AM Promotions, strategic questions by key account management. The paths between the levels are short because everyone works under the same roof.

How stable is the staffing?

PROWERB is family-run in its second generation, and staff turnover is low. A change of contact is the exception — and is handed over, not just announced.

Does this also work for pure e-commerce accounts?

Yes. For an international workwear brand, PROWERB runs e-commerce operations as a managed service — account management plus an operational base ranging from supplier correspondence to delivery exception handling.

How transparent is ongoing operation?

The Operations Cockpit provides live reports, inventory trends, budget control and shipment tracking — around the clock, integrated into your systems on request. Added to that are automated extracts and ad hoc notifications from the system.
