Promotional-Products Fulfillment

Promotional-products fulfilment bundles three things that belong together: warehousing, order fulfilment and dispatch. Behind it is a family business founded in Kleve in 1979 — today with 25,000 square metres of newly built warehouse space, more than 55,000 group-wide pallet spaces and over 2 million shipments per year. More than 95 percent of orders for permanently stocked promotional items ship the same day. The same-day share is an operating metric for permanently stocked promotional items, not a promise for each order. Dispatch depends on available stock, complete and approved order data, the agreed cut-off and working days. We clarify the reporting period and applicable service level for your project.

01 · Starting Point

Handling follows the product and order.

Textiles, glass, displays and personalised products need different storage, inspection and packing steps. Product assessment determines the suitable route. Dedicated areas and agreed handovers connect these tasks to dispatch.

02 · Process

From order intake to dispatch — one system, clearly managed steps.

Every order runs through PROWERB Core, the in-house ERP and warehouse management system. Inventory is booked in real time, RFID-capable, with no media break between order management and the warehouse.

    Orders arrive from the e-shop, the MEP platform or via interface directly into the ERP. Inventory checks happen automatically.

    Pick the goods

    Collect approved products and quantities for the order.

    Finishing in flow

    Carry out required finishing or other approved value-added services before final packing.

    Packing and checking

    Packing, final inspection, labelling. Every shipment is checked before it leaves the building.

    Dispatch and follow-up

    Distribution across B2B, B2C and D2C. Track & trace, inventory development and reports are available in the Operations Cockpit — around the clock, integrated into your systems on request.

At Prowerb, fulfillment isn't a bought-in module but the core of operations — the FLOW pillar in the operating model: stocking and fulfillment of recurring items, at maximum efficiency.

01Warehousing →25,000 square meters of newly built warehouse space in Kleve, plus over 15,000 square meters of connected outdoor storage and more than 55,000 group-wide pallet spaces. Dedicated areas for high-runners, slow-movers, hand and bulky goods, hazardous materials, glass and protective wear.
02Inventory managementPROWERB Core: in-house ERP and WMS with process engine. RFID-capable, gapless real-time booking, bill-of-materials and value-creation processes for sets and kitted goods.
03Order fulfilmentOrder-specific retrieval, packing and checking for B2B, B2C and D2C shipments — from individual items to assembled sets.
04Dispatch →Over 2 million shipments per year at a service level above 99 percent. Distribution from fan shop to point of sale to end customer — B2B, B2C and D2C.
05Special goodsGlass shipments, bulky goods such as umbrellas, hazardous materials, sample packages, gastro and fan merchandise — the product groups where standard fulfillment ends.

04 · Integration

Your system sets the path. The warehouse follows.

There is no Prowerb standard route that customers first need to learn. Orders reach the warehouse the way the existing system landscape provides for it: Oatly controls via a standalone shop solution, Erdinger submits order files via SFTP, Arizona is directly connected to the existing shop, Coca-Cola works via interface and in-house tools. Add to that over 50 active customer e-shops from our own operation and the MEP platform with 18 customizable modules.

What does promotional-products fulfillment at Prowerb cover?

The complete route from goods receipt: warehousing in dedicated zones, real-time inventory management, picking, packaging, dispatch and exception-case handling. On request, with order-related finishing and kitting & assembly in the same flow.

How fast is dispatch?

The figure of over 95 percent dispatched on the order day refers to permanently stocked promotional products. The mandate defines the reporting period, order/working day, available stock, complete approved order data and cut-off. This concerns dispatch, not delivery. The service level above 99 percent is a separate operating metric; its measure, denominator and exceptions are defined in the service scope.

Can you store glass, bulky goods and hazardous materials?

Yes. The warehouse in Kleve runs dedicated areas for glass, hand and bulky goods, hazardous materials and protective wear — including glass shipping and bulky-goods handling for items like umbrellas.

How are orders handed over?

Via the existing customer shop, by SFTP order file, via interface to the ERP, or through the MEP platform. The route follows your system landscape, not the other way around.

How long does onboarding take?

For a larger fulfilment takeover, introduction follows seven phases (0–6). Around 14 weeks is a planning guideline once master data, contracts, inventory transfer, interfaces and approvals are settled. A digital build or smaller scope receives its own schedule.

Yes, in real time: Operations Cockpit with Power BI live reports, inventory development, track & trace and automated exports — available at any time and integrable into customer systems.
