A VIP invitation is a brand promise: whoever accepts should be on the list at the entrance — with the correct name, valid accreditation, all documents in order. Prowerb runs this process for brands: invitation responses, guest lists, accreditation data, confirmations, reminders. The guest corresponds with the brand. We run the operation behind it.

Guest names arrive late. Plus-ones change. The organizer wants the final list, marketing wants no risk of a no-show, and every unanswered query from a VIP guest reflects back on the inviting brand. Marketing teams aren't set up for this correspondence — they plan the event, not the responses. This response management is itself an operational process: capture, verify, confirm, follow up. Whoever runs it systematically has no surprises at the entrance.
Accreditation brings names, responses and organiser approvals together for the event date. Ticketing decides on available places; the VIP portal provides digital entry. Cut-offs, change deadlines and handover format are agreed with the organiser.
Guest list through to the event
Deadlines follow the specific event plan. Late details need organiser approval; a portal change is not yet an accreditation approval.
Accreditation management is exception-handling work under time pressure. The scope in operation:
For Coca-Cola, Prowerb has run event ticketing and hospitality processing since 2021 — the complete route from ticket inquiry through quota allocation and accreditation to confirmation, dispatch and reminder system, integrated via interfaces and in-house tools.
VIP guest management rarely stands alone. Usually an event hangs on it — with tickets, equipment and material.
Yes. Submitting guest names and accreditation data after the fact is standard practice in operation. Changes are captured, checked and handed over to the organizer — as long as their deadlines allow it.
Prowerb — on behalf of the brand. The guest corresponds with the inviting company; we run the process behind it. Only the brand appears externally.
Yes. Both are run: season-long operation with recurring matchdays as well as individual events. The process stays the same — response, quota, accreditation, confirmation, reminder.
Personal data is processed in compliance with GDPR; an external data protection officer is appointed. Guest data is used exclusively for accreditation, dispatch and reminders.
Integration with existing systems via interfaces and in-house tools is established practice — automated system notifications from ticketing and quota management run within the same process.
