A campaign combines mechanics, prizes and deadlines. Responsibility, permitted information and escalation are defined before launch for delivery updates, missing details and damaged shipments.

Physical work and participant contact are separate service components.

The service coordinates physical work and agreed communication. Mechanics, data handoff, shipping method and the service boundary are described for the individual campaign.

01Prize shippingAfter the agreed data handoff, prizes are picked, packed and passed to the approved recipient address; available updates depend on the selected shipping method.
02End-customer supportHotline, email or contact-form teams answer only agreed questions about the campaign and shipment, then route exceptions with context to the named campaign owner.
03Replacement-prize processesFor damage, loss or returns, the report and shipment reference are recorded, checked against the project rule and continued as a replacement or exception case after approval.
04Mechanics and data handoff →The agreed participation journey defines when a record is ready for fulfilment. Participation decisions and recipient approval are assigned before dispatch.
05Voucher and discount promotionsVoucher or discount questions are assessed against the campaign rule, period and contact boundary; technical or legal exceptions are passed to the appropriate owner.
06Delivery status and exception handlingStatus replies use the agreed shipping feedback. Incomplete details or an unexpected event are recorded and passed into the defined exception route.

One prize case from dispatch order to replacement decision.

Example: an approved physical prize is to be sent to a winner. Product, winner address and dispatch approval are checked first. If the prize is unavailable, the campaign owner receives the facts and decides on later delivery or a permitted substitute. Dispatch and winner information follow that decision.

Does PROWERB handle direct contact with end customers?

Direct participant contact can be provided through agreed hotline, email or contact-form channels. The project brief defines which questions are answered and which are escalated.

What happens if a prize arrives damaged or isn't delivered?

Damage or non-delivery is documented with the available shipment reference, checked against the campaign rule and, after approval, handled as a replacement or exception case.

How does winner data get into logistics?

Before launch, the parties agree the data format, required fields and handoff time. Only the details needed for the agreed dispatch or exception step are shared.

Which prizes can be shipped?

A prize is assessed by packaging, variants, shipping method and available stock. Items with particular requirements receive their own process description.

Does this also work for small campaigns?

For a small campaign too, the appropriate process depends on mechanics, period, prizes and handoffs. Scope is considered for the individual project.
