01 · Starting Point

VIP invitations rarely fail on the night itself. They fail before — on the list.

Invitation management means: confirmations from three channels, guest names that change up to the day before, plus-ones, cancellations, replacements — and each individual case involves people who matter to the brand. In CC inboxes and shared spreadsheets this works, until it doesn't. A portal turns scattered correspondence into a process: every invitation, every response, every guest name in one place, with one status that everyone involved can rely on.

One invitation, two perspectives.

Example: the host sees which places are accepted and which details remain missing. The guest sees the invitation, responds with attendance and companion details and receives approved documents. A late name change is checked before the revised list goes to the organiser.

04 · Operations & Technology

The portal technology is built in-house. So is the operation.

The technology behind our VIP portals comes from in-house development at the Digital Hub Düsseldorf — built and in use for Bitburger, among others. It doesn't run in isolation: inventory, dispatch and bookings run through PROWERB Core, our own ERP and warehouse system. And because software alone doesn't answer queries, the operation is part of it: a dedicated team confirms acceptances, resolves changes and keeps the guest list reliable — in the background, under your brand. Prowerb does not appear.

What clients want to know before starting.

What occasions suit a VIP portal?

Anything where invitations meet quotas: stadium hospitality, brand events, anniversaries, winner invitations from promotions. The portal is configured per occasion — one-off or year-round.

Who runs the portal — Prowerb or us?

Prowerb. The portal carries your appearance, communication runs in your name. Operation, maintenance and query handling sit with us — you keep the status of every invitation in view at all times.

What happens to guest data?

It stays purpose-bound to the occasion. Processing under GDPR, with an externally appointed data protection officer.

Does Prowerb also dispatch physical tickets and hospitality packages?

Yes. Dispatch runs from our own warehouse, with notification, shipment tracking and exception handling — the same logistics that also move promotional-products and promotion shipments.

How quickly can a portal go live?

That depends on quota logic, data integration and scope. The portal technology exists and is configured per customer — we clarify the concrete timeline in the briefing.
