The problem

Five transaction types nobody plans for — and that still show up every week.

Standard dispatch is organized. What comes after usually isn't. These five cases fill the inboxes of marketing and procurement teams — and each one costs inventory accuracy.

01Non-receipt despite deliveryThe recipient reports: nothing arrived. The carrier reports: delivered. Now it takes proof of delivery, a query to the carrier and a decision on a replacement shipment — not three weeks of email traffic.
02Transport deviation and extra costsDamage, wrong quantity, demurrage: every transport exception case requires documentation and a decision. Without a process, every case becomes an individual negotiation.
03Shortfall and delivery discrepancyA complete or partial shortfall at goods receipt — as long as the resolution is open, the inventory is wrong. And with it, any availability information.

Exception handling means: the case has a process before it happens.

At PROWERB, returns and exception cases run in the same system as dispatch — PROWERB CORE, our own ERP and warehouse management, with gapless real-time booking. No special inbox, no parallel world: the exception case is a transaction type with ownership, workflow and booking.

01Fixed ownership instead of a forwarding chainThree levels of account management — key account, campaign control, operational fulfillment. Every exception case has an owner, not a wandering CC line.
02Correspondence in the customer's nameWe resolve issues directly with carriers, suppliers and recipients — in the customer's name on request. For a major tour operator, we've handled this correspondence since 2022: transport deviations, non-receipt, cancellations.
03Retrieval as a standard transactionCourier and carrier commissioning for returns starts from within the transaction — system-supported, not a shout across the office to the next available colleague.
04Inventory that reconciles againReturned goods are separated by condition: approved reuse, blocked inspection stock, refurbishment or agreed disposal. Replacement and credit require the defined authority; each decision receives the appropriate booking.

Proven in operation

At Vaillant, the exception case has been a routine transaction since 2007 — not an escalation.

PROWERB has run Vaillant's order and warehouse logistics since 2007. The exception case is part of the weekly routine there: quantity and shortfall resolution, inventory corrections, courier and transport commissioning — handled in the same system as the standard order call-off, not in a special inbox. junited AUTOGLAS shows the same mechanism in shop operations: shipment tracking, courier and carrier commissioning including returns are a fixed part of the promotional-products shop process.

For a major tour operator, we resolve transport deviations, non-receipt and cancellations — including correspondence with carriers and recipients in their name. And for a leading grinding-technology manufacturer, we handle FBA processing including remission management in Amazon operations.

The process

Decide outsourcing by access, authority and case volume.

Before commissioning, we check access to order and transport data, who approves decisions and which goods movements are included. Frequent standard cases can then be separated from exceptional decisions. The flow shows the agreed framework; not every case requires collection.

What clients want to know before outsourcing.

Can we outsource only returns and exception handling — without the warehouse?

Exception handling works where inventory and dispatch are managed. PROWERB provides it as part of the logistics chain: anyone who stores and ships with us gets the exception-handling process from day one. An isolated exception-handling service without a link to goods is not our model.

Does PROWERB communicate directly with our recipients?

Yes — with carriers, suppliers and recipients, in the customer's name on request. For a major tour operator, we've handled this correspondence in live operations since 2022.

What happens to retrieved goods?

Returned goods are separated by condition: approved reuse, blocked inspection stock, refurbishment or agreed disposal. Replacement and credit require the defined authority; each decision receives the appropriate booking.

Does this also cover Amazon FBA remissions?
