Solution · Centralization

One catalogue. A shared overview. Clear ordering.

When stock, orders and responsibilities are spread across different lists, every request takes extra work. PROWERB brings agreed stock together and develops ordering paths for your teams.

How the steps connect

  1. 1

    Review stock

Structure products, variants and available quantities together.

  2. 2

    Organise ordering

Define catalogues, roles and approvals for each audience.

  3. 3

    Connect operations

Track ordering, shipping and replenishment using shared references.

The problem

Signs of disconnected workflows.

Check which situations actually occur in your organisation. Not every business needs the same degree of centralisation; the largest coordination burden determines the first step.

01Duplicate procurement →The same articles are purchased in parallel by several units — at different prices, in uncoordinated quantities.
02Invisible inventoryPromotional products sit in storage rooms, regional warehouses and car trunks. What nobody sees gets reordered.
03CI sprawlEvery supplier interprets the brand differently. At the same trade show, three shades of blue of the same logo show up.
04Invoice flood →Hundreds of individual invoices from small suppliers instead of bundled billing — finance ends up managing tiny amounts.
05No reportingNobody can say what promotional products cost the group in a year — or which articles are actually needed in the field.
The operating model

Consolidate ordering, stock and responsibilities selectively.

Centralisation can start with a shared assortment, approvals and reporting. Procurement, storage and processing responsibilities are agreed separately; established suppliers and internal tasks can remain.

01Central promotional-products shopOne order portal for all departments, subsidiaries and countries — range, budgets and approvals set to your rules. More than 50 active customer shops run in our operation today.
02Master data and item lifecycleCreation, renaming, deactivation run through standardized notification processes. Every article gets a clean history instead of five duplicates.
03One inventory, managed in real timeStorage, inventory booking and stocktaking in our own ERP and warehouse system, PROWERB CORE — RFID-capable, booked gaplessly, viewable at any time.
04Order processing and invoicingOrder intake, confirmation, invoices, credit notes, PO corrections: the administrative substructure runs with us, not in your finance department.
05Multi-brand control via the MEP platformThe Marketing Execution Platform maps multi-brand strategies — 18 customizable modules, connectable to existing online shops, ERP and warehouse systems. The level at which promotional-products management becomes marketing resource management.
06Reporting instead of gut feelingOperations Cockpit with live reports, inventory development, budget control and track & trace — available around the clock, integrated into your systems on request.

Reference operations

Renault, Vaillant, Telefónica O₂ — promotional products in ongoing operations, for years.

The mandates reach back to 1996 and run as documented day-to-day operations: Renault since 1996, Vaillant since 2007 and Telefónica O₂ since 2011.

Renault
The relationship with Renault began in 1996. Today, we manage the promotional-products shops for Renault and Dacia: item maintenance from creation to deactivation, order processing and invoicing, fulfillment.
Vaillant
Nearly two decades of order and warehouse logistics: standardized order call-offs from the warehouse, order-to-cash, goods receipt, dispatch and exception handling.
Telefónica O₂
Since 2011, fulfillment and freight forwarding, item master data maintenance, print-data approvals and periodic reporting — ongoing operations with many stakeholders and one dedicated contact.
Oatly
Since 2023, order intake through the promotional-products shop, order-to-cash including credit notes, and item maintenance via standard notification processes.
Onboarding

Example: two companies, clear permissions.

Companies A and B share standard items while retaining their own brand variants, budgets and invoice references. Existing stock is assigned, duplicates checked and discontinued items blocked. Each company names an approval owner. This page covers shared management; location distribution describes the subsequent physical rollout.

  1. 01

    Define together

Master data, roles, budget limits and required feedback.

  2. 02

    Approve separately

Brand variants and spending stay assigned to the respective owner.

  3. 03

    Transfer step by step

Pilot with one company; add further units after review.

FAQ

What procurement, marketing and IT want to know before switching over.

How long does centralization take?

For larger fulfillment takeovers, seven phases lead from master data and contracts through systems and stock transfer to go-live. Around 14 weeks is a possible planning framework, depending on assortment, data quality, interfaces, stock availability and approvals. Individual campaigns and digital projects receive their own project plan.

Do we have to give up existing suppliers?

No. Initially, the ordering channel, inventory and processing are centralized. Established suppliers stay connected; procurement can then be bundled step by step.

Does this work with multiple brands and countries?

Yes. For the Renault Group we run operations across two brands, and the MEP platform maps multi-brand strategies. For Arizona we handle logistics for Germany and the Benelux region.

What happens to leftover inventory from decentralized warehouses?

It is delivered, checked at goods receipt and booked in. From that point, one inventory applies — including stocktaking with target-actual reconciliation and clean inventory correction.

How fast is delivery after the switchover?

Permanently stocked promotional items leave the warehouse the same day in more than 95 percent of cases. The same-day share is an operating metric for permanently stocked promotional items, not a promise for each order. Dispatch depends on available stock, complete and approved order data, the agreed cut-off and working days. We clarify the reporting period and applicable service level for your project.

Do we keep control over brand and budget?

Yes. PROWERB operates in the background; the portal, range and communication carry your brand. You control budgets and approvals in the portal, and the Operations Cockpit delivers live reports, inventory development and budget control.
