The problem

The campaign is finished. Now the spreadsheet phase begins.

Distribution lists in spreadsheets, quantity requests by email, every location reporting differently — and headquarters turns into a mailroom. What's missing isn't willpower, it's a system: who is allowed to order what? How much is each location entitled to? Where is the leftover stock from the last campaign? As long as these questions are answered by hand, every distribution round costs days — and every campaign starts unevenly.

The solution

Central warehouse, order portal, campaign line — three building blocks, one process.

Prowerb runs distribution as ongoing operations: material sits centrally in Kleve, locations order through a closed portal or are supplied via a shipment list, and every movement is booked and traceable.

01Central stockholdingPermanently stocked material is held under system-managed inventory in the Kleve warehouse — picked and dispatched with a same- and next-day rate above 95 percent for permanently stocked promotional items. The same-day share is an operating metric for permanently stocked promotional items, not a promise for each order. Dispatch depends on available stock, complete and approved order data, the agreed cut-off and working days. We clarify the reporting period and applicable service level for your project.
02Order portal per locationClosed shops with range, budget and allocation controls: headquarters defines what each location is allowed to order — the location itself orders within it, without back-and-forth. More than 50 customer e-shops run on this basis today.
03Push distribution on a deadlineFor rollouts, headquarters feeds in a shipment list. The campaign line assembles and dispatches between one and 15,000 packages a day, with changeover time under three hours.
04Dispatch, advance notification, exception handlingTrack and trace per shipment, advance notification to the location, resolution for non-receipt or transport deviation — documented in the Operations Cockpit, viewable around the clock.
The process

Example: launch pack and later replenishment.

A campaign serves two location groups: large branches receive two display kits, smaller branches one, for example. These illustrative quantities are approved in advance. Consumables remain centrally available for later requests within agreed allocations. Unlike centralising the full promotional-products operation, this scenario focuses on quantities, dates and receipt at each location.

Can our locations order themselves?

Yes. Closed order portals map range, budgets and allocations per location. Headquarters sets the framework, the location orders within it — order confirmation, invoicing and dispatch run automatically alongside.

What happens with a rollout that must start everywhere at once?

That's what the campaign line is for: feed in the shipment list, set up the line, assemble, dispatch — on the deadline, to all locations. Short-term peaks are absorbed via a flexible-staff pool and shift extensions.
