The material comes from three trades, the stand builder has its own schedule, the agency its own lists — and no one keeps a reliable inventory. After the show, unsorted returns pile up, shrinkage only shows up once the next date is looming. Whoever improvises each season anew pays twice: once in the stress before the event, then in the stocktaking afterward. The alternative is a system that runs the complete cycle — from goods receipt to the target-actual reconciliation after the last teardown.

Event logistics at PROWERB is a dedicated operational pillar with an event warehouse, in-house assembly teams and system-supported reverse logistics. Small event or large format: delivery and returns run through the same inventory management, booked in real time.
For Coca-Cola, PROWERB runs event logistics and VIP ticketing as an ongoing operation — from the ticket request through allotment allocation and accreditation to dispatch and reminder management, plus parasol and glassware dispatch for retail and hospitality.
This is not a one-off project, but steady operations under time pressure. These peak figures refer to baseline output: 200% is double, 400% is fourfold (+300%). Achievable volume and lead time are agreed for the item mix, goods and data availability, staffing and shift plan.
Start with the time the stand must be ready. Work back through setup, the organizer’s confirmed delivery window, transport, picking and material inspection. Record hall, access, on-site contact, quantities per event and packing-list approval. Allow time between events for return transport, inspection and any repair; the same item cannot be reserved for both dates at once. If a return is expected late or approval is missing, the project lead decides before the next packing run on replacement, reduced scope or another transport option. During the season, we replenish. We absorb order peaks via our flex-staff pool and shift extensions.
After the event, the same teams disassemble. The return to the warehouse runs system-supported — nothing disappears into third-party interim storage.
Returns are counted and inspected. Intact goods can be released again; damaged or incomplete material remains blocked until refurbishment, replacement or disposal is decided. Availability for the next event follows release.
For larger fulfillment takeovers, seven phases lead from master data and contracts through systems and stock transfer to go-live. Around 14 weeks is a possible planning framework, depending on assortment, data quality, interfaces, stock availability and approvals. Individual campaigns and digital projects receive their own project plan.
