Starting position

Design ordering permissions, recipient data and approvals carefully.

Orders for members or branches pass recipient data between the shop, warehouse and shipping process. Before launch, it must be clear which data each order requires, who may access it and how enquiries are handled. Even a small range needs defined permissions, order approvals and documentation. We agree these requirements with procurement, the business team and data protection.

01Recipient dataOrders in a member context contain personal data. Processing them requires clear responsibilities and regulated access — before the first shipment leaves the warehouse, not after.
02Public oversightStatutory health insurers operate under supervision. What an external operator does must be documented audit-proof — from order entry to delivery.
03Low volume, high diligenceInsurer shops are rarely mass business. What matters is not throughput but that each individual shipment is correct — recipient, contents, documentation.
04Decentralized orderingBranch offices, departments and campaigns create different ordering routes into one assortment. In the briefing, distinguish a branch ordering material for an information stand from an order sent to an individual member address. Define the visible assortment, required recipient data and approval owner for each route. This turns a general access rule into a concrete ordering process.

For a nationwide statutory health insurer, PROWERB manages a web shop serving members. The assignment includes order and invoice processing, dispatch and shipment tracking. The relatively small volume follows an agreed process. Coordination takes place through the insurer’s own communication channels, with dedicated contacts for operating questions.

How does PROWERB ensure data protection in shop operations?

The basis is a contractually regulated data processing agreement with clearly defined responsibilities and access rights. PROWERB has appointed an external data protection officer; we disclose the specific technical and organizational measures in conversation.

Is external operation worthwhile even for small volumes?

Small ranges and order volumes can be managed externally, as our work for a nationwide health insurer demonstrates. Whether the model is financially and operationally suitable for you depends on the shop, integration and ongoing handling effort. We assess this using your order process and expected volumes.

Does PROWERB take over an existing shop or build a new one?

Both. We take over existing shops into ongoing operations or build new ones. For larger fulfillment takeovers, we use the seven-phase method: from requirements and master data through system integration, testing and stock transfer to go-live and handover to ongoing operations. Around 14 weeks is a planning guide for that scope; data quality, interfaces and stock transfer determine the actual date. Smaller or purely digital assignments receive a suitable introduction plan.

How does coordination work in day-to-day business?

Through dedicated contacts at three levels: key account for strategic questions, campaign management for campaigns, fulfillment for operational handling. Coordination runs in your own channels — including Microsoft Teams.
