The Problem

Clarify handovers between agency and operations.

Depending on the agency model, services are handled internally or sourced externally. The project defines which tasks PROWERB takes on and which remain with the agency team.

01Capacity on demandFor every campaign the search starts fresh: who has a free line in October? The subcontract packer with capacity is rarely the one with the best process.
02Four trades, one delivery deadlineFinishing here, warehouse there, dispatch with a third party, exception handling with a fourth. Every handover costs days — and the agency is liable to the customer for the deadline.
03Margin in the chainEvery outsourced stage adds its own markup. What the budget provides seeps into the subcontracting chain instead of into the agency's margin.
04Exception cases in the agency inboxNon-receipt, transport damage, a missing pallet: the customer calls the agency, the agency chases the chain — without access to any system.
05End-customer support without an apparatusThe sweepstakes is live, inquiries arrive in waves. An agency is built for campaigns, not for hotlines and ticket inboxes.
The Operating Model

You run the customer. We run the operation.

PROWERB works with agencies, not against them: idea, budget and the customer relationship stay up front with you. Behind it stands a custom fulfiller with its own finishing, its own warehouse, its own software and its own customer care.

01Operation in the backgroundPROWERB doesn't step between you and your customers. Dispatch runs, portals and communication carry the brand you specify — the operation stays invisible.
02Campaign line for campaign loadThe campaign line handles up to 15,000 shipments per day depending on the packing task; changeover under three hours applies to prepared line switches. Planning can use 200% of baseline capacity within 24 hours and 400% within 72 hours: double or fourfold (+300%). Item mix, goods and data availability, staffing and shifts determine achievable output; capacity and timing are agreed.
03In-house finishingScreen printing, transfer printing, embroidery, flocking, direct-to-garment printing — up to series production with rows of transfer presses. The item doesn't change buildings between printing and dispatch.
04Warehousing and fulfillment →25,000 square meters newly built in Kleve, more than 55,000 group-wide pallet spaces, more than 2 million shipments a year. Permanently stocked promotional items leave the warehouse the same day more than 95 percent of the time. The same-day share is an operating metric for permanently stocked promotional items, not a promise for each order. Dispatch depends on available stock, complete and approved order data, the agreed cut-off and working days. We clarify the reporting period and applicable service level for your project.
05Integration to your setupOrder files via SFTP, direct import from sweepstakes apps, interface to the existing shop, or recipient lists via the MEP platform's campaign module. Integration follows the project, not the other way around.
06Exception handling, support, reportingShipment tracking, returns, non-receipt — for promotions, on request with a hotline and complete email support for end customers. The Operations Cockpit delivers live reports and track & trace around the clock — figures you can drop straight into your customer reporting.

Reference Operations

Erdinger, Bitburger, Coca-Cola, flaschenpost — campaigns in rhythm.

Campaign business at PROWERB isn't a byproduct of the warehouse but its own trade with its own line. Four examples. These peak figures refer to baseline output: 200% is double, 400% is fourfold (+300%). Achievable volume and lead time are agreed for the item mix, goods and data availability, staffing and shift plan.

Erdinger
The collaboration came about through a promotional-products agency and ran for years on their mandate: kitting of product giveaways, delivery directly to retail and grocery-trade central warehouses, campaign periods spanning several weeks, special campaigns from small giveaways to full-truckload size. Order files via SFTP.
Bitburger
Summer campaign with complete logistics management from goods receipt to prize dispatch — including a telephone hotline and complete email support for end customers. Orders ran via direct import from the sweepstakes app.
Coca-Cola
Campaign fulfillment alongside ongoing POS operations: trial packs, umbrella and glass shipping, ticketing and event logistics with agreed reporting.
flaschenpost
Kitting of product giveaways, creation of mixed-drink cartons, carton design — controlled via the MEP platform's campaign module, distributed via the central warehouse and directly to the hubs.
Process

Four approvals connect agency and operations.

Before launch, brand presentation, sample packs, recipient data and dispatch windows are approved. The agency names an owner for changes; PROWERB reports effects on cost and timing.

Workflow

Agency approvals before execution

  1. 01BriefingAgency clarifies the client brief, brand and decision authority.
  2. 02SampleApprove the sample pack, artwork and additional work together.
  3. 03DataConfirm recipients, quantities and dispatch windows.
  4. 04ExecutionPROWERB delivers; changes and exceptions go to the named approval owner.

Client ownership and creative direction remain with the agency within the agreed engagement. Additional services and changes are agreed explicitly.

FAQ

What agencies ask before the first joint campaign.

Does PROWERB appear to our customer?

Only if you want it to. The operation runs in the background; dispatch, portals and communication carry the brand you specify. You run the customer relationship.

Isn't PROWERB a competitor itself?

In the agreed agency engagement, creative direction and client ownership remain with you; PROWERB handles the commissioned operations. Additional concept or marketing services are included only under an explicit division of responsibilities.

From what volume does this pay off?

The campaign line runs from one to 15,000 shipments per day — from small orders to large campaigns. For Erdinger, special campaigns range from small giveaways to full-truckload volumes; more than 1,000 campaigns run per year.

How short-notice is a campaign feasible?

The line is converted to a new campaign in under three hours; capacity can be increased to 200 percent of baseline capacity within 24 hours, to 400 percent of baseline capacity within 72 hours. Short-notice special campaigns are part of daily business.

How does the technical integration work?

According to your setup: order files via SFTP, direct import from a sweepstakes app, interface to the existing shop, or control via the MEP platform's campaign module.

What if campaigns turn into ongoing operation?

For larger fulfillment takeovers, seven phases lead from master data and contracts through systems and stock transfer to go-live. Around 14 weeks is a possible planning framework, depending on assortment, data quality, interfaces, stock availability and approvals. Individual campaigns and digital projects receive their own project plan.
